Thank-you notes work like gangbusters because they invoke a powerful law, the Law of Reciprocity (or reciprocation). Essentially the law of reciprocity says that "First you must give; then you'll receive." Most people, by nature, do not like to feel indebted to others, so, if you give your customer something, they're wired to give back - they will feel compelled to return the favor somehow. Thank-you notes however you send them (email, handwritten with snail-mail, post-card, etc.) should give you most of the benefits outlined at the beginning of this post. Handwritten notes give you the highest return on investment, because they carry the maximum personal engagement factor. They are the kind one of your customers could, quite conceivably, share on social media.

Your handwriting doesn’t matter – just make sure it’s legible. 

Below are some do’s and don’ts for writing (and sending) hand-written thank you notes to your clients/customers: 

  • Don’t use a red pen! Use blue or black ink. 
  • Do use cards or stationery that says something about the kind of business you are – so, a florist can use flower-printed cards.
  • Don’t make excuses for your handwriting. Your handwriting is unique, and this makes a personal note feel even more special and “real” to the person you send it to.
  • Do respond in a timely fashion. It is best not to wait so long that your customer forgets having done the thing you’re thanking them for, for example giving you a referral, responding to a survey, leaving a review on your Google listing, etc.
  • Don’t include anything overly promotional, coupons for example, or a business card. The point of a thank you note is to show your gratitude to your customer or client, not to promote your business. 
  • Do showcase your business’ personality! Whatever is in line with your brand and can help set you apart is fine – just don’t go overboard!
  • Do include a little something extra when the situation merits it! So, you could send a token of appreciation along with your note – a book, stickers, a T-shirt or even baked goods. This is an extension of superior customer service, or post-purchase experience, etc.

Handwritten thank-you notes are such a rare throwback to old-school customer service because hardly anyone does it these days. They stand out as a delightful gesture, one that makes your clients or customers feel special enough to call it out and share with others – this is one of the reasons they work even better today than they did twenty, thirty years ago!

In his book, The Thank You Economy, Gary Vaynerchuk writes:

“Right now, there is a fortune in word of mouth that can be created for companies [and small businesses] who nurture relationships in these small but meaningful ways that turn customers into vocal brand advocates across large social media networks."
